Position Title: Admin Support Drivers

Job Description:

Responsibilities: 

  • Assist in gathering evidence for operational investigations. Obtaining downloads, requesting CCTV, phone records, reviewing EDS profiles.
  • Assist in the preparation of KPI’s as requested plus other associated reports for the Depot Managers.
  • Support with identifying trends where costs and releases can be reduced and suggest improvements.
  • Assist managers on the management of depot sickness by ensuring records are kept up to date and the relevant sickness process are followed in a timely manner.
  • Complete Return To Work interviews and MFA meetings and Occupational Health Referrals if required.
  • Assist at Driver recruitment assessment days and interviews as required. Manage the different stages of the onboarding process for new starters including sizing & ordering of uniform, setting up staff accounts to enable the process of ordering uniform remotely/home depot.
  • Monitor and administer all relevant Driver Manager team and Support Staff medical examinations, travel facilities and other staff related issues, including confidential management of personal files.
  • Create and own the depot Sharepoint site, ensuring all relevant trackers are up to date and functional and locally agreed agreements are stored on there.
  • Procure stores, uniform, publications and equipment within delegated authority and manage all invoices from receipt through to authorisation, keeping a detailed record ensuring relevant signatures are obtained, including raising liabilities at period end and investigating queries through to completion, including the use of purchasing card.

Reqirements:

  • Flexible and adaptable; open to change and development. Proven ability to work in a varied and
  • fast paced environment and the ability to utilise own initiative; together with a “completer/finisher” ethos.
  • Experience of using IT packages including Microsoft Office and resourcing systems for the creation of reports/presentations/KPI’s is desirable.
  • Ability to build a strong working network through a professional, friendly and approachable attitude.
  • Excellent written and communication skills able to take accurate minutes and produce detailed written reports
  • An understanding of GDPR principles
  • Ability to quickly prioritise and carry out complex administrative tasks
  • Highly organised, uses initiative and plans ahead; pro-active and innovative in seeking opportunities to improve systems and processes
