Position Title: Driver Team

Job Description:

Responsibilities: 

  • Provide support with presentations, reports and agendas locally and functionally. Ensure all minutes and appropriate paperwork are distributed to staff whilst respecting all aspects of confidentiality.
  • This includes Local and Functional level council meetings, typing correspondence and documents for the Driver Management team organisation to business standards.
  • Monitor and administer all relevant Driver Manager team and Support Staff medical examinations, travel facilities and other staff related issues, including confidential management of personal files.
  • Procure stores, uniform, publications and equipment within delegated authority and manage all invoices from receipt through to authorisation, keeping a detailed record ensuring relevant signatures are obtained, including raising liabilities at period end and investigating queries through to completion, including the use of purchasing card.
  • Organising meetings by ensuring hotel and travel arrangements are made.
  • Carry out driver administration ensuring compliance as per rail industry standards.
  • This includes but is not limited to, applying for ETDL licenses, posting of notices, ensuring compliance for route risk assessments, ensuring next of kin information is accurate etc.
  • Assist at Driver recruitment assessment days and interviews as required. Manage the different stages of the onboarding process for new starters including sizing & ordering of uniform, setting up staff accounts to enable the process of ordering uniform remotely/home depot.
  • Assist in gathering evidence for operational investigations. Obtaining downloads, requesting CCTV, phone records, reviewing EDS profiles.

Reqirements:

  • Ability to quickly prioritise and carry out complex administrative tasks
  • Highly organised, uses initiative and plans ahead; pro-active and innovative in seeking opportunities to improve systems and processes
  • Experience of using IT packages including Microsoft Office and resourcing systems for the creation of reports/presentations/KPI’s is desirable.
  • An understanding of GDPR principles
  • Ability to build a strong working network through a professional, friendly and approachable attitude.
  • Excellent written and communication skills able to take accurate minutes and produce detailed written reports
  • Flexible and adaptable; open to change and development. Proven ability to work in a varied and fast paced environment and the ability to utilise own initiative; together with a “completer/finisher” ethos.
