Job Description:

The role of Business Support Administrative Officer will be part of the Business Support Team that provides non-operational support to the Thames Command.

Responsibilities:

  • To contribute toward the operational support unit ensuring the effective running of the office
  • Email inbox management, prioritising incoming work and highlighting, in real time, issues that require immediate attention
  • Commissioning and collating of information where appropriate from across the region to enable robust and timely responses
  • Information Handling: preparation of data to ensure business needs and priorities are met
  • Assisting Operational Teams with back office support as and when required
  • Procurement of Goods and Services
  • Adhering to Home Office purchasing policy
  • Payment of invoices within terms of agreement
  • Taking care of aged accruals
  • Government Procurement Card monthly reconciliation
  • Health and safety
  • Support of recruitment as and when required
  • Travel and hotel booking for Operational Team members
  • Support of fleet management
  • Providing Business Support Unit cover at all of the Command’s key sites
  • Reporting building faults and ensuring service providers adhere to agreed Service Level Agreements
  • Respond to live issues as they arise
  • Minute taking as and when required
  • Site security and access
  • Support operational delivery across the command
  • This role involves manual handling when taking care of deliveries, and occasional heavy lifting

Requirements:

  • Experience working in a changing environment
  • Good organisational skills and time management
  • Experience working under pressure with limited supervision
  • Excellent written and verbal communication skills
  • Able to exercise discretion
  • Experience using evidence and knowledge to support accurate, informed decisions and advice
  • IT skills, knowledge of Outlook, Word, Excel, PowerPoint, Skype and Teams
